# Getting started

## Step 1: Create your account

Navigate to [app.digicust.com](https://app.digicust.com) and sign up with your email or social account. You will be prompted to fill out basic information about your company that we need in order to automate customs clearance for you.

## Step 2: Configure your first execution strategy

Execution strategies define how customs cases are being processed. We understand that our clients' needs vary and Dexter is designed to be flexible in the way you can integrate it.

Navigate to "Settings" and click "My Strategy". You will end up in the configuration page of your execution strategy:

We did the basic configurations for you. You can come back at any later point. For now, click save.

## Step 3: Upload your first customs case

Navigate to Customs Cases and hit "Create New". Now, set a reference to find your case again later, choose the newly created execution strategty and choose your first customs document you want to process. That might be an invoice, waybill, delivery note, packing list or any other relevant customs document - or even multiple customs documents in one single PDF file. Then, hit "Upload"!

Your case is now being processed. Depending on your plan and the size of the documents, this can take around 15 minutes. Outside our business hours, cases might be processed the next morning only.

## Step 4: Your first case is processed

Congrats! You have processed your first customs case. To increase the automation degree, configure your execution strategy and/or upload master data.


# Upload Cases

Uploading customs cases to our platform is a straightforward process. Follow these steps to upload your customs cases with ease:

**Step 1: Navigate to Customs Cases**

Log in to our web platform and navigate to the "Customs Cases" section. This section provides an overview of your customs cases, including the status of each case.

**Step 2: Create a New Case**

To create a new case, click on the "Create New" button. This will open a new form where you can provide the details of your customs case.

**Step 3: Fill in Reference and Execution Strategy**

In the new form, you can fill in a reference for your own records and select an execution strategy. The execution strategy determines how the case will be processed.

**Step 4: Choose Files to Upload**

Select the file(s) you want to upload by clicking on the "Choose File" button. You can upload multiple files if necessary.

**Step 5: Classify File Type and Upload**

Optionally, you can classify the file type by selecting a file type from the dropdown menu. Once you have filled in all the necessary details, hit the "Upload" button to upload your customs case.

# Upload Master Data

To automate customs case processing with recurring shippers, uploading existing material and stakeholder master data, you can simply upload XLSX or CSV files.

1. Go to Master Data and choose either tab "Material", "Stakeholder" or "Tariff Number" depending on what kind of master data you want to operate on.
2. Click "Import from File"
3. Choose either "XLSX" (recommended) or "CSV".\

4. Now, click on "Download Sample XLSX" or "Download Sample CSV".\

5. Open the XLSX or CSV file using a spreadsheet editor like Microsoft Excel. Row 1 contains the titles, keep all titles that you want to populate. Row 2 shows sample data entries. Replace these samples with your own data.&#x20;
6. Now, upload the edited XSLX or CSV file and hit "Import".\

7. Our AI is busy making sense of your master data. This can take up to 10 seconds per entry. You will receive an email notification once the machine is done. Master data is then automatically being used for filling out customs declarations.


# Bulk Edit Master Data

Instead of editing master data one by one, you can choose to select multiple entries and edit them all at once.

# Configure Execution Strategies

Execution Strategies define how customs cases are being processed. You can define arbitrarily many strategies to fit your needs.

## Step 1: Create a new Execution Strategy

Navigate to settings and execution strategies, then hit "Add Execution Strategy". The system will automatically configure basic settings. Now, let us walk you through and see what you can configure.

## Step 2: Define how customs cases are being uploaded

We allow clients to upload customs cases through different modi that you can define in the "Import" tab.

For one, customs cases can always be uploaded via our web platform. In addition, upon saving, every execution strategy receives a unique email address. Send or forward any email with attached customs documents to that email address to process them.

You can configure a default classification of uploaded documents. You can safely set it to the document type that you use most - if our machine detects deviations, it will reclassify documents.

You have also the option to set the default procedure.

You can decide to upload customs cases via SFTP - a protocol that listens to a specific folder on a server and in case new files are being copied to this folder, Dexter would automatically take and process them.

## Step 3: Configure Case Processing

Navigate to the "Processing" tab. We activating data extraction, data normalization, data validation and data integration. Deactivating either of them could lead to unexpected results.

Our data normalization service allows you to configure multiple particularities.

## Step 4: Define Submission

In the "Submission" tab, you can automatically send data to your customs software, such as AEB, Dakosy, LDV or DBH. Configure the particular credentials.

## Step 5: Define Custom Events

In the "Events" tab, you can define what should happen when certain checkpoints are being triggered. A common use case is to configure email notifications, when a case finished processing. Apart from email events we also support webhooks or SFTP events. Find out more under [Custom Events](/features/custom-events).

## Step 6: Define Rules and Templates

Streamline your customs procedures with Rules. Set conditions based on customs requirements and trigger automatic actions, such as setting the correct Incoterms or Procedures. Simplify customs compliance and save time with our powerful Rules engine. Rules apply to all future customs cases processed with this execution strategy. ## Step 7: Process your first case with the new Execution Strategy

Congrats, you have successfully defined your first strategy! Enjoy your results processing future cases with this strategy.


# Manage Projects

Digicust is a customs clearance automation platform that utilizes a project-based structure to manage data and access control. This structure is particularly useful for organizations collaborating with external clients, as it simplifies the organization and compartmentalization of sensitive information.

Each project within the Digicust platform acts as a separate entity with its own settings, master data, and customs cases. This enables users to efficiently manage multiple customs clearance processes in a secure and organized manner.

The main components of Digicust's project-based system are:

1. **Customs Cases**: Each project maintains a distinct set of customs cases, which includes all necessary documentation and data for a particular customs clearance process. This centralization of cases within projects allows users to manage clearance processes more effectively.
2. **Settings**: Settings specific to each project provide users with options to configure various aspects of the customs clearance process, such as notifications, rule management, and integration with external applications. 3. **Access Control**: Access permissions can be assigned to team members and external collaborators on a per-project basis. This ensures that sensitive information is safeguarded and only accessible to those with the appropriate clearance, promoting a secure environment for data management.

### How to add a new project?

Adding new projects to your organization is easy.

1. Hover over your currently active project on the left menu bar.
2. Choose "New Project"
3. Assign a project name and click OK
4. You will land in a fresh, empty workspace to start from
5. You can switch between your projects by hovering over your active project and selecting the project you want to switch to.

### How to add people to my new project?

Access is not shared throughout projects. To add your colleagues to a new project, follow these simple steps:

1. Click "Invite Colleagues" in the left menu bar.
2. Click "Create New Code".
3. Copy the link and share with your colleagues, e.g. via email or chat.
4. Your colleagues simply use this link to sign in to the Digicust app and receive access to the new project.

# Onboarding Checklist

### Welcome to Digicust Onboarding!

Thank you for choosing Digicust for your customs clearance automation needs. To ensure a smooth and efficient onboarding process, we've outlined the key steps and milestones we'll be achieving together. Below, you’ll find a detailed agenda for our first onboarding session, as well as the preparatory steps that need to be completed beforehand.

#### Pre-Onboarding Checklist

Before our first onboarding session, please ensure the following tasks are completed to facilitate a seamless integration:

1. **Submission of Customs Cases:**
   * Please send all necessary documents and files required to complete the customs declarations, including any completed declarations you might already have.
2. **Software Interface Setup:**
   * Ensure that the interface with your customs software is ideally set up. Please provide Digicust with the interface data required for linking Digicust to your customs software.
3. **Automation Setup:**
   * Digicust will set up an out-of-the-box automation strategy using your provided data. A rule set for no-code automation may also be established if necessary.
4. **Data Transmission via Interface:**
   * Ensure that the data transfer via the interface is established and tested. It’s crucial that we receive positive feedback indicating that the customs declaration data has been successfully received by the customs software.

#### First Onboarding Session Agenda

Our first meeting will focus on ensuring that everything is set up correctly and ready for full automation. Here's what we'll cover:

1. **Overview of Processing Strategy and Active Features:**
   * Introduction to the processing strategy set up by Digicust and a detailed review of the functionalities enabled.
2. **Presentation of Customs Declarations:**
   * Presentation of how your own customs declarations is handled both in Digicust and within your customs software. Adjustments to the processing strategy may be proposed to optimize future data handling.
3. **Analysis of Warnings and Empty Fields:**
   * We will analyze any warnings and empty fields shown in the customs software to identify necessary adjustments.
4. **Rule Set Establishment Using Digicust No-Code Automation:**
   * Setting up a rule set to address any warnings and fill out all desired fields of the customs declaration automatically.

#### Post-Onboarding Follow-Up

Following our initial session, we will schedule subsequent meetings to:

* Test full automation capabilities.
* Provide iterative feedback to Digicust to stabilize and fine-tune the automation process.
* Set up additional cases for full automation as needed.

# Checklist Recurring Client

If you are a customs broker or forwarding company with recurring clients and recurring cases, you can follow the following checklist to configure Digicust:

1. Does the customer have material master data? Upload them for example as XLSX in our material master data module. Digicust automatically matches and uses them in automated declarations. See [Upload Master Data](/guides/upload-master-data)
2. Create the client in our Stakeholder master data module. Here you can set up basic information such as their name, address, VAT and EORI number.
3. Create a new execution strategy. Go to settings/execution strategies and click "Add Execution Strategy".  For example, call it "Test GmbH Import". Then go ahead and set up the settings as you need them. Make sure to also set up the connection to your customs software.
4. In the execution strategy settings, go to Rules and click "Add Rule". Do not specify any conditions. Select "overwrite and merge" and set up basic case information, that applies to every customs case with this client. For example:
   1. Direct or indirect representation
   2. Customs offices
   3. Means of transportation (for example, if this client always uses truck)
   4. Declarant (select the one we previously set up in the Stakeholder master data module)
   5. Declarant representative (probably your company)

Congrats! You have set up automation for a new recurring client. You can upload new customs cases to the newly created execution strategy.

Some tips for even more automation:

* Clarify which documents are actually needed for automating the customs case. Sometimes all information necessary is on the invoice in which case you can ignore packing lists, delivery notes, etc.
* Share the @with.digicust.com email address with your client. Your client can send their customs cases directly to your Digicust account for automation.
* Upload a customs case and check the results. If something is not yet correct, try changing some execution strategy settings or contact <support@digicust.com>. Chances are, we can finetune automation towards your needs.


# Checklist Walk-in Clients

If you are a customs broker or a forwarding company and you have many walk-in clients (non-recurring clients) you have potential to automate their customs cases with Digicust. Our clients usually achieve 70%-90% automation with walk-in clients. Follow the following checklist to achieve automation:

1. Go to settings/execution strategy and click "Add Execution Strategy". The execution strategy specifies how a customs case is being processed. Create one execution strategy per procedure. For example, call the new execution strategy "Walk-in import"
2. Now, to configure the execution strategy, consider the following:
   1. Automated translation (e.g. to German) and using tariff number as goods description (improved)
   2. If export procedure and you have the appropriate assurance from your clients, you can make Digicust automatically add negative type codes (Y-codes).  For that, activate the feature "Automatically add negative codings"
   3. Set up the connection to your customs software.
   4. Stick as much as possible to the default settings.

Congrats! You have set up automation for walk-in clients. You can upload new customs cases to the newly created execution strategy.

Some tips for even more automation:

* Communicate clearly with your clients which information you need. Information that is typically not in uploaded documents (e.g. license plates or customs offices) can be sent via email).
* In the execution strategy, you can create an embeddable upload form that you can either embed in your website or just share the link with your clients. Submitted cases through that form automatically appear in your Digicust account.
* It is normal if the first iteration is not yet perfect. Upload cases, examine what went wrong and try to adjust the execution strategy. Then try again and iterate.

# Riege Scope

Digicust integrates natively with Riege's [Scope](https://www.riege.com/). Just upload customs cases to Digicust. Digicust processes the case and sends the filled out customs declaration to your Scope system.

Many of our clients use Digicust as a black box and just check warning messages within Scope before submitting the automatically created customs declaration to the authorities.

The Scope interface needs to be set up by Riege before getting started. If you are not using the interface already, ask your contact person at Riege.

1. The setup is easy. Navigate to your execution strategy settings and select "Submission".<br>

Many of our clients use Digicust as a black box and just check warning messages within BEO before submitting the automatically created customs declaration to the authorities.

The BEO needs to be set up by BEO before getting started. If you are not using the interface already, ask your contact person at BEO or <info@beo-software.de>.

### Setup

1. The setup is easy. Navigate to your execution strategy settings and select "Submission".<br>

If the Dakosy interface is not working as expected, do the following:

1. The Digicust - BEO interface is well-tested and in production with clients. However, in rare occasions it might happen that interface errors occur. Kindly forward any error messages to <support@digicust.com>. We are happy to help!

Digicust integrates natively with [FORMAT](https://www.formatsoftware.de/index.php/de/). Just upload customs cases to Digicust. Digicust processes the case and sends the filled out customs declaration to your FORMAT system.

Many of our clients use Digicust as a black box and just check warning messages within FORMAT before submitting the automatically created customs declaration to the authorities.

The FORMAT interface needs to be set up by FORMAT before getting started. If you are not using the interface already, ask your contact person at FORMAT or <info@formatsoftware.de>.

### Setup

1. The setup is easy. Navigate to your execution strategy settings and select "Submission".

### Troubleshooting

If the Dakosy interface is not working as expected, do the following:

1. Use an SFTP client like <https://www.filestash.app/sftp-client.html> to check whether Digicust's interface files are arriving at the server correctly. If not, check the credentials and try again.
2. FORMAT usually checks the SFTP folder for updates every X minutes. For starters, they usually put an interval of 30 minutes. You can ask FORMAT to put the time down to 2-5 minutes to get cases nearly instantly into your FORMAT system.
3. The Digicust - FORMAT interface is well-tested and in production with clients. However, in rare occasions it might happen that interface errors occur. Usually, you find error messages in FORMAT. Kindly forward any error messages to <support@digicust.com>. We are happy to help!


# DHF Zolaris

Digicust integrates natively with Mic-Cust's [DHF Zolaris](https://www.mic-cust.com/de/landingpages/zollloesung-at-e-zoll/). Just upload customs cases to Digicust. Digicust processes the case and sends the filled out customs declaration to your Zolaris system.

Many of our clients use Digicust as a black box and just check warning messages within Zolaris system before submitting the automatically created customs declaration to the authorities.

### Setup

1. The setup is easy. Configure the API directly in the Zolaris system.<br>

2. To automate the regular import of interface files into the Zolaris application, we recommend setting up a Cronjob or using Task Scheduler on Windows. This guide will walk you through the necessary steps to configure the Task Scheduler for this purpose. To set up the Task Scheduler, follow these steps:
   1. **Open Task Scheduler:**

      Press Windows + R and type taskschd.msc, then press Enter.
   2. **Create a New Task:**\
      In the Task Scheduler, select `Create Task...` from the `Actions` pane.

      Name: `Zolaris File Import`

      Set your desired schedule (e.g., daily, weekly) and time

   5. **Actions Tab:**

      Click `New...`

      Action: `Start a program`

      Add arguments (replace placeholders with your actual parameters):\

   6. **Conditions Tab:**

      Configure any conditions as necessary, such as only running the task if the computer is idle.

# Asycuda

Digicust integrates with Asycuda. Just upload customs cases to Digicust. Digicust processes the case and sends you the XML files with the customs case data you can upload to Asycuda.

Currently supported: Asycuda World Kosovo.

### Setup

1. The setup is easy. Navigate to your execution strategy settings and select "Events".

4. Save the execution strategy. Upload customs cases to said execution strategy and wait for cases to arrive in your email inbox.
5. Upload the case to Asycuda. For that purpose, in Asycuda, select New "Detailed Customs Declaration" and click on the import symbol. Locate the XML file and upload. Asycuda should automatically be populated with the customs case data.

# Tariff Classification

# Auto-fix tariff numbers

Customs tariff numbers are different in every country. Germany has 11 digit numbers. Austria has 10 digit numbers. To the largest part, within the European Union tariff numbers are harmonized up to the 8th digit. Globally, the first 6 digits are harmonized. Now, what happens if an indian tariff number is extracted for a customs declaration in Germany? Our system automatically "fixes" the tariff number to comply with local requirements.


# Automatic classifications

Digicust can automatically classify goods as you process your customs declarations with us. The system uses goods descriptions (e.g. from invoices), shipper information, weight information, etc. to accurately classify goods up to the 11th digit.

To automatically classify goods as you process customs declarations, activate the following options in the execution strategy settings:

The following strategies are available for classifications:

* **Classify and replace:** Will automatically classify all goods and overwrite extracted tariff numbers.

* **Classify and suggest:** Will automatically classify all goods, but instead of overwriting extracted tariff numbers will suggest to the user. The user has the final say which tariff number to consider.

# AI-Generated Goods Descriptions

Often, goods descriptions on invoices, packing lists, delivery notes etc. are incorrect or simply insufficient for the customs authorities. To that end, our system can automatically generate correct goods descriptions for you.

### Use tariff number as goods description

An extracted tariff number can be used to extend goods descriptions. For example, in Germany we use the EZT tariff number description or a shorter, more precise version of it, in combination with the (shortened) description we find on an invoice, to generate a correct goods description.

# Rules & Templates

Rules is a feature of our service that allows users to configure conditions for the automatic overriding or fallback of values in customs documents. With this feature, users can set conditions based on certain values or attributes in customs documents, and specify the values to be overridden or fallback values to be provided. This feature streamlines the customs clearance process and ensures consistency and accuracy in customs documents.

### How it works

The Rules Configuration feature allows users to set conditions based on certain values or attributes in customs documents. For example, users can set a condition that if the shipper is "xy" and the total value does not exceed 10,000 EUR, a certain customs representation mode should be applied. Users can also specify the values to be overridden or fallback values to be provided based on these conditions.

### Templating

Setting "Fallback to"-rules is equivalent of setting a template of values to be used if Digicust can not provide more accurate data from the documents you uploaded. This way, you can apply conditional templates based on the conditions you set.

### Scale rules to the hundreds

An execution strategy can have unlimited rules assigned. As you scale to hundreds of rules, you can give rules different names that you can search through. You can move rules up and down. Higher rules have higher weight and will overwrite conflicting values from lower rank.

### Conditionally modify line items

With rules, you can conditionally modify all matching line items. An example would be, that if the shipper is from country XY, then always assume country of origin XY.

### Conditionally modify execution strategy

You can even conditionally modify the execution strategy. This way, you could set up that if the declarant is from Germany, send the data to customs software Dakosy and if the declarant is from Switzerland, then send the data to Mercurio.

### Conditionally trigger warning messages

You want your customs declarants to be warned if specific conditions are met? For example, if the goods are worth more than EUR 100.000 you might want to trigger a warning that the user should have another look before sending to the authorities. Many of our clients choose to just forward emails with PDF files attached and relevant information in the email body. You can do so too!
